The organization in focus is a prominent player in the Nonprofit sector, with a commitment to reinforcing statistical and data science skills among its employees. For privacy reasons, we will refer to this company as ‘The Nonprofit Organization’ throughout this case study. Faced with the need to enhance their data analysis capabilities, the organization expressed a strong need for an online course in Statistics and Data Science tailored specifically for Nonprofit Data Analysts. They also required an automated system that would notify the trainee’s supervisor, via email, once the learner successfully passed the mid-course assessment.
Legacy eLearning authoring tools, while capable of creating engaging interactive content, often fall short in developing intricate automated tasks. The notification feature – sending an automated email to a supervisor once a user successfully passes a mid-course assessment – is an advanced, user-centric functionality that exceeds the standard capabilities of these dated tools. Most legacy systems focus primarily on creating and delivering the content, lacking the ability to also integrate modern automation tasks and workflow programming. Thus, the creation of a system that not only tracks learner progress but also automatically communicates this to the relevant supervisor, would be difficult, if not impossible, to build using such legacy authoring tools.
In resolving the challenge, an advanced tool called Email Messaging eLearning Widget was integrated into the elearning system. This tool allows the implementation of automated emails at various points in the course, without needing any particular learner action. Further, the provision to use the responses and inputs from learners to generate email content was also enabled. This widget allowed for managers to be notified when their staff made certain choices or responses in the course, improving the tracking of progress. It even facilitated each learner emailing their responses made during the course. By using the widget, the nonprofit organization was able to offer supplementary training materials through automated emails and even send completion certificates directly to learners. Moreover, the widget served as official verification of completed training, by sending an email confirmation to both learners and relevant parties.
